Overview

As part of the ITLM team, this role ensures seamless management of client requests, stock, logistics, vehicle fleet, and associated drivers. Responsibilities span from coordinating ITLM Operations processes to overseeing fleet maintenance and driver scheduling.

Responsibilities

  1. Coordinate client requests and ITLM operations through online portals.
  2. Manage customer service requirements and liaise with appropriate departments.
  3. Oversee request fulfilment from quoting to execution and invoicing.
  4. Upload data into internal systems and customer portals.
  5. Handle assets retire reporting and maintain audit documentation.
  6. Monthly Reporting.
  7. Ensuring Fleet of vehicles undergo servicing and MOTs for Services
  8. Keeping a vehicle maintenance plan around driver’s workload and service demand
  9. Organising repairs and, if applicable, replacement vehicles
  10. Ensuring all service records are recorded and documented correctly.
  11. Booking of Hire vehicles where required
  12. Supporting drivers to ensure that they complete daily vehicle inspections and reporting on their performance.
  13. Tracking of driver’s schedules in Samsara
  14. Support driver management, scheduling, and performance tracking.
  15. Provide daily and monthly reporting on fleet and driver activity.
  16. Identify trends and make recommendations for improvements.
  17. Collaborate with the ITLM Operations Manager on departmental reports.
  18. Address any issues impacting business operations promptly.
  19. Provide coverage for absent team members as needed.
  20. Carry out any other ITLM related functions as required by the ITLM Operations Manager.

Qualifications

  • Advanced PC skills with MS Office proficiency.
  • Excellent written and verbal communication.
  • Extensive customer service experience.
  • Ability to work independently and within a team.
  • Attention to detail and ability to work under pressure.
  • Familiarity with stock movement and fleet management.
  • Capability to pass security vetting as required.

EXPERIENCE:

  • An understanding of administrative duties and logistics knowledge

KNOWLEDGE:

  • Proficiency in stock control systems and IT asset retire programmes.
  • Co-Ordinating workflow and job planning
  • Strong PC skills with Microsoft Office and bespoke software
